(operating as “BeerSoft”, “we”, “our”, or “us”) is committed to protecting the privacy and personal information of individuals who visit our website at https://beersoft.ca or interact with our services. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec’s Act respecting the protection of personal information in the private sector (Quebec Law 25), and all other applicable Canadian privacy legislation.

Accountability

Beersoft Solutions Inc. has designated a Privacy Officer responsible for ensuring compliance with this policy and applicable privacy laws. The Privacy Officer is accountable for the organization’s compliance with PIPEDA’s Fair Information Principles, including when personal information is transferred to third-party service providers for processing.

Personal Information We Collect

We collect the following categories of personal information:

Information You Provide Directly

  • Contact information: name, email address, phone number, and company name submitted through contact forms on our website
  • Newsletter subscription: email address provided when subscribing to our newsletter
  • Communications: any additional information you include in messages sent to us

Information Collected Automatically

  • Technical data: IP address, browser type and version, operating system, device type, screen resolution, and language preferences
  • Usage data: pages visited, time spent on pages, referring URLs, click patterns, and navigation paths
  • Cookie and tracking data: information collected through cookies, Google Analytics (GA4), Google Tag Manager, and Meta (Facebook) Pixel as described in Section 8 and our Cookie Consent Banner

Information from Third-Party Sources

We do not currently purchase or receive personal information from third-party data brokers or sources.

Purposes for Collecting Personal Information

We collect and use personal information for the following identified purposes:
  • To respond to inquiries submitted through our contact forms
  • To send marketing newsletters and updates to subscribers who have provided express consent under Canada’s Anti-Spam Legislation (CASL)
  • To analyze website traffic and user behaviour to improve our website, content, and services
  • To serve targeted advertising through Meta (Facebook) Pixel, based on your consent
  • To detect, prevent, and address technical issues and security threats
  • To comply with legal obligations and enforce our Terms and Conditions
If we intend to use personal information for a new purpose not identified above, we will notify you and obtain your consent before doing so, unless the new use is required or permitted by law.

Limiting Collection, Use, Disclosure, and Retention

Limiting Collection

We collect only the personal information necessary for the purposes identified in this policy.

Limiting Use and Disclosure

We do not sell, rent, or trade your personal information to third parties. We share personal information only with the following categories of service providers who process data on our behalf:
  • Google LLC — for website analytics (Google Analytics GA4) and tag management (Google Tag Manager)
  • Meta Platforms Inc. — for advertising performance measurement (Meta Pixel)
Each service provider is contractually required to protect your information and use it only for the purposes for which it was disclosed. We require service providers to maintain safeguards consistent with PIPEDA’s requirements and to notify us of any security incidents affecting your data.

Retention Schedule

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, or as required by law. The following retention periods apply:
  • Contact form submissions: retained for up to 24 months from the date of submission, then permanently deleted
  • Newsletter subscriber data: email address and consent record retained for the duration of the subscription. Upon unsubscribe, the email address is deleted within 30 days. An anonymized consent record (without personally identifiable information) is retained for 3 years to comply with CASL’s limitation period for private right of action
  • Google Analytics (GA4) data: our GA4 property is configured with a data retention period of 14 months. After this period, user-level and event-level data is automatically deleted by Google. Aggregated, non-identifiable reports are retained indefinitely
  • Meta Pixel data: conversion event data is retained by Meta for a maximum of 24 months from the date of collection, in accordance with Meta’s data retention policies. We do not independently store Meta Pixel data
  • Cookie consent records: retained for the duration of the consent cookie (365 days) plus an additional 12 months for audit purposes
When personal information is no longer required for any identified purpose or legal obligation, it is securely deleted or anonymized.

Accuracy

We take reasonable steps to ensure that personal information in our possession is accurate, complete, and up to date for the purposes for which it is used. The degree of accuracy depends on the use of the information, taking into account the interests of the individual.

We rely on you to provide accurate and current information when submitting forms or communicating with us. If you become aware that any personal information we hold about you is inaccurate, incomplete, or out of date, please contact us at office@beersoft.ca and we will correct it promptly.

We do not routinely update personal information unless it is necessary to fulfil the purposes for which it was collected or unless requested by the individual.

Safeguards

We protect personal information using security measures appropriate to the sensitivity of the information, including:
  • HTTPS encryption (TLS) for all data transmitted between your browser and our website
  • Secure hosting through Webflow’s enterprise-grade infrastructure, which includes redundancy, monitoring, and incident response capabilities
  • Access controls limiting who within our organization can access personal information, on a need-to-know basis
  • Staff and contractor awareness: all personnel who handle personal information are made aware of their privacy obligations and the importance of protecting personal information in their day-to-day activities
  • Third-party due diligence: we review the security practices and privacy policies of our service providers (Google, Meta, Webflow) and require contractual commitments to safeguard data
  • Regular review of security practices and third-party service provider compliance
While no method of transmission or storage is 100% secure, we are committed to using measures that are proportionate to the sensitivity of the information and the risks involved.

Your Rights

Right of Access

You may request access to the personal information we hold about you. We will respond to your request within 30 days of receiving it. In rare circumstances where we require additional time, we will notify you of the extension and the reasons for it.

To protect the security of your personal information, we may ask you to verify your identity before processing an access request. Verification measures will be proportionate to the sensitivity of the information requested and may include confirming details you previously provided to us.

Right to Rectification

You may request correction of any inaccurate or incomplete personal information we hold about you. We will make the correction promptly and, where appropriate, notify any third parties to whom the information was disclosed.

Right to Deletion (Right to Be Forgotten)

Under Quebec Law 25, you may request the deletion of your personal information when it is no longer necessary for the purposes for which it was collected, or when you withdraw your consent.

Upon a valid deletion request, we will:
  • Delete the personal information from our systems within 30 days
  • Take reasonable steps to notify third-party service providers who received your information to cease its dissemination
  • Where applicable, request de-indexing of the information from publicly accessible sources
We may retain certain information where required by law, for the establishment or defence of legal claims, or where deletion is technically infeasible, in which case we will inform you of the reason and the expected retention period.

Right to Data Portability

Under Quebec Law 25, you have the right to receive, in a structured and commonly used technological format (such as CSV or JSON), the personal information you have provided to us, and to have it transferred to another organization where technically feasible.

This right applies to information you provided directly (e.g., contact form data, newsletter subscription) and does not extend to information derived from analysis of your data (e.g., analytics insights).

Right to Withdraw Consent

As described in Section 4.3, you may withdraw consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before the withdrawal.

How to Exercise Your Rights

To exercise any of the rights described above, contact our Privacy Officer at office@beersoft.ca. Please include sufficient information to identify yourself and specify which right you wish to exercise. We will acknowledge your request within 5 business days and provide a substantive response within 30 days.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies. We categorize cookies into three groups:
  • Essential cookies: required for basic website functionality (session management, security, consent storage). These are always active and do not require consent.
  • Analytics cookies: used by Google Analytics (GA4) to collect anonymized usage data. These are only activated with your express consent.
  • Advertising cookies: used by Meta (Facebook) Pixel for conversion tracking and retargeting. These are only activated with your express consent.
In compliance with Quebec Law 25, all non-essential cookies are blocked by default. They are only activated when you click “Accept All” on our cookie consent banner. If you click “Necessary Only,” no analytics or advertising cookies are set.

Cross-Border Data Transfers

Some of our third-party service providers process personal information outside of Canada:
  • Google LLC: may process data in the United States and other jurisdictions where Google operates data centres
  • Meta Platforms Inc.: may process data in the United States and other jurisdictions
When personal information is transferred outside Canada, it may be subject to the laws of the jurisdiction where it is processed, including government access requests under those laws. We ensure that any such transfers are governed by appropriate contractual safeguards, and we assess the privacy practices of our service providers before engaging them.

By consenting to the use of analytics and advertising cookies, you acknowledge that your data may be processed outside Canada as described above.

Privacy Breach Protocol

In the event of a breach of security safeguards involving personal information that creates a real risk of significant harm to an individual, we will:
  • Notify the Office of the Privacy Commissioner of Canada (OPC) as soon as feasible, and, where applicable, the Commission d’accès à l’information du Québec (CAI)
  • Notify affected individuals directly, as soon as feasible, with a description of the breach, the types of information involved, the steps we are taking to mitigate the risk, and the steps the individual can take to protect themselves
  • Maintain a record of every breach of security safeguards, regardless of whether it meets the real-risk-of-significant-harm threshold, as required by PIPEDA and Quebec Law 25
We review and update our breach response procedures annually.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. Any material changes will be posted on this page with an updated “Last Updated” date and version number.

Where material changes affect how we use personal information previously collected, we will make reasonable efforts to notify affected individuals directly (e.g., by email for newsletter subscribers) and obtain new consent where required.
